Having a valid DBS (Disclosure and Barring Service) certificate is essential for anyone working with children. We often receive questions about the DBS process, so we've answered some of the most frequently asked ones below to help clarify what you need to know.

Can I use a standard DBS for teaching?

No. To work with children, you must have an Enhanced DBS Check. A standard DBS does not provide the level of information required for safeguarding in educational settings.

Can I use a volunteer DBS for paid work?

No. A volunteer DBS is only valid for unpaid roles that benefit a third party. It cannot be used for any paid work, including supply teaching or teaching assistant roles.

Can I use a DBS that covers both Child and Adult Workforce?

No. In accordance with the Police Act 1997 and DBS eligibility guidance, we do not accept DBS certificates that include both the Child and Adult Workforce.

These types of checks are only appropriate for roles involving regular work with both children and vulnerable adults—typically in the care sector. As a teaching agency, we are not permitted to access information related to adult workforce checks unless the role involves personal care for vulnerable adults.

⚠️ If you're asked to apply for a 'Child and Adult Workforce' DBS, please ensure that it's appropriate for your role. This type of check should only be used if you are working directly with adults who require personal care or support with daily living activities. For teaching roles in colleges or universities, an Adult DBS is only required if you’re providing personal care.

Why must my DBS be on the Update Service?

At West Country Educational Agency, all teachers and teaching assistants are required to have a DBS certificate that is registered on the Update Service.

This allows us (with your permission) to check your certificate at any time, ensuring the information is still current and valid. As part of our Audited Education status, we must verify all DBS certificates at least once per year.

To remain on the Update Service, please ensure:

• Your certificate is registered within 30 days of issue.
• Your payment details for the annual renewal are up to date (especially if you’ve changed bank cards recently).

I’ve changed my name. Is my DBS still valid?

No. If you’ve changed your name, you will need to apply for a new DBS certificate. Once you receive the new certificate, you can register it with the Update Service.

I’ve changed my address. Is my DBS still valid?

Yes. Your DBS certificate remains valid, but you should update your address in your Update Service account to keep your records accurate.

Can I apply for a DBS through West Country Educational Agency?

Yes! We are an official umbrella body for the Disclosure and Barring Service, which means we can process your DBS application quickly and efficiently and, if you are working for us,  with no administrative fees.
